Wholesale & Bulk Contributions: Wholesale Customers


This article is intended to describe, in detail, the functioning of Wholesale Customers inside GramTracker.


All Wholesale Orders in GramTracker must be made to a specific Wholesale Customer.  Wholesale Customers are largely just a collection of details for your reference, fields important to other functioning in the system will be highlighted in green.


Wholesale > Wholesale Customers takes us to a list of all the Wholesale Customers we have in the system.  Below the header at the top of the page is a link to create a new Wholesale Customer.  Below that, we have a number of filters which allow us to search for a Customer already in the system.  Clicking on the link for a Customer's Company Name, or using the View link will take us to a page which simply presents all details of that Customer.  Clicking on the Customer's email will attempt to open your email client and create an email to the displayed address.  Clicking Edit will take us to a page where we can update the details of a Customer.


When updating an existing, or creating a new, Wholesale Customer we have a series of fields to store data about this organization:  

Mandatory Fields

  • Company Name is the only mandatory field when handling Wholesale Customers.  It is the name of the Company used in the dropdown selection when creating Wholesale Orders.


Optional Fields

  • Contact Information is used to display additional information when looking at the main list of Wholesale Customers in the system.  Name, Phone, and Email will be visible there, whereas Preferred Contact Method is used purely for your reference.  Email is especially notable because when viewing the main list of Wholesale Customers, the address here will be a clickable link that will open your computer's email program.
  • Company Address should be used as a way of tracking the address used for billing purposes, in the case that a Wholesale Customer has a separate address for deliveries.
  • Delivery Address should contain the address which orders from this client should be taken to.  The information in these fields is also used to pre-populate information on transportation forms for states that require them.

Optional Fields


  • The Active checkbox controls whether or not a Wholesale Customer shows up in the dropdown selection when creating a Wholesale Order.  A non-Active client absolutely cannot have new Wholesale Orders created for them.
  • Allow Sales of Medicated Products determines whether products considered medicated* can be added to orders for this Wholesale Customer.  This box is unchecked by default, and should remain that way until you have been provided with all necessary information to be sure that you are allowed to sell medicated product to this Customer.
    • A product being medicated can be from being associated with a medicated inventory category(See the KB article on Customize Lists) or products associated with a medicated Bulk Inventory(See the KB article on Bulk Inventories)
  • The list of licenses here allows you to track various types of licenses that you may be required to have for tax or regulatory purposes in your area.  We have pre-populated the system with three types of licenses:  Business, State MMJ, and State Sales Tax - but you can change or add to this list(See the KB article on Customize Lists).  The data entered into these fields may also pre-populate onto transportation manifests for states that require them;  In the case that you have multiple types of license information on hand for a client, you can control which of these pre-populates in your admin settings(See the KB article on Admin Compliance Settings)

Optional Fields


  • The Notes section can be used to track any other information regarding your Wholesale Customers - it exists solely for your reference and is not visible to the Wholesale Customer.  Examples of usage would be additional delivery details such as "Shop is hard to see from road, is in the parking lot behind the bank" or administrative notes such as "Spoke to owner on 9/13 and agreed upon all payments being half up front and half when product sells"
  • File Attachments can be used to store scans or other documentation for this client.  As an example, this might be scans of contracts with this customer, or copies of invoices.
